| 6. COMMITTEE REPORTS: A. Trailmaster: Subsection: Trailmaster Report. Donald Roux - absent > Two trail movements need to be done > 1 bridge re-decking Subsection: Administrative Update. Steve Perham If anyone wants to take a walk on the trails and give us an update of what needs to be worked on, check in with Steve to report what needs to be done. B. Membership Committee: Mike Mosher was absent. C. Safety Committee: Don Allaire took the Snowmobile Safety Instruction course in August. December 6th, 2008 is the class date for people or members who want/need to take the safety class. Don has begun receiving candidates already. Sign up TODAY! Watch for details on the website and television. Ask Don about a boating class for the state of Maine being held on September 27th. Call Don for more information. D. Activities Committee: Denise Roux. No report. E. Scholarship Committee: <> Bottles and Cans: Christi Wilson and Steph Wilson made a $190 deposit to Lou. Over the summer the membership helped by dropping off their bottles and cans. We even pick them up from you or the Club House (garage). Some new information has arrived! Save your orange juice containers because they have a 5¢ refund with it. Thank you girls for your volunteer work over the summer. F. | 4. OLD BUSINESS: A. Thank You Notes: Christina Seltzer and Diana Durant both sent letters of thanks. We wish our recipients much success in college. Keep us informed by sending us an email! B. Insurance: We depreciated our equipment and reduced our premium by $195. However, since we had off-season storage for the sleds, the insurance company increased our premium by $195 which off-set our credit. A question was asked about liability. What is our liability? Discussion and a brief review of the policy followed. Is there liability coverage that covers all the Officers and Directors? More information needs to be found concerning this topic. Also more information needs to be discovered on the other issues of liability and groomers. C. Bridge Project: We have just received the DEP permit. Mick Roger’s has this information in Augusta. We are missing the soil test (asked for from the Town of Sanford) to be sure the completed structure will hold in the area it’s being built. The Board of Director’s voted on the estimate(s) for the soil test earlier this summer 2008. The test has not been done due to ground water in the area of the test site. Steve reported on the status. The soil test should be done this Tuesday. The bad news is the estimate that was approved originally did not include specific fees that are needed to complete this test and thus will not be reimbursed. Lou suggested a ‘time card’ sort of document for reimbursement of funds that the club members or volunteers could sign off on when working on the bridge project. The Grant reference numbers need to be on all information to be submitted. A form may need to be written with a reference number for ease of use. Lou and Cindy will work on this. Lou commented that this information will need to be on hand for future reference. >> D. | 5. NEW BUSINESS: A. MSA & MSA Super Raffle: Raffle Tickets are $2.00 each, 3 for $5.00 or 6 for $10.00 this year with a December 16th drawing date. Jim asked the MSA, “How do we manage the money this year since it is difficult to handle actual tickets sold versus, the money taken?” We were told to send in half of the money and not to be concerned that the ticket count does not equal the money. 1) No tickets have been sent out from our club yet. How many tickets should be sent out to each member? This topic was discussed. Membership agreed that the club will be sending out 12 tickets to each member. Our own club (Sno-Goers) ‘free ticket campaign’ will not be used this year because of the MSA’s 6 for $10 ticket option. 2) Since we were in the top 3 in sales last year. The club will be doing ticket sales in the Augusta Civic Center on October 5, 2008 from 9 a.m. to noon. If you would like to volunteer, places to work are still available. 3) When you attend the show this year, 50 $100 gas cards will be drawn over the weekend. Here is your chance to win! B. Coastal Regional Director: We have a new director. His name is Dave Watson who is also the Vice-Presidnet of the Ossipee Mountaineers. If you’d like to meet Dave fill out the form to join him on November 16th. (Call or email us for more information. Dave is also available to speak with us as a special guest if the membership would like. Let us know! C. Website: The cost of hosting the website going up. $11.95 to $12.95. Cindy charges no fee for her continued service. Lou made a motion to approve the cost, it was seconded and passed. D. SAM’s: Sportsman's Alliance of Maine will be having an informational meeting on Saturday, September 16th. (After further investigation, the date on the flyer was incorrect and the meeting was on September 13th.) E. Places to Travel and Investigate: (The President has flyers and handouts on file ~ need something? Just ask.) * Saddleback Mountain * Eagle Lake Lodge F. MSA from our Director: Bob Hanson reported the MSA is making changes in their by-laws. 1) Directors will be meeting 6 times a year during the season. 2) Officers will meet as usual. 3) Concern about the MSA Membership Insurance and survivor contact is being given a careful look to make sure contacts are made. 4) A rebate program for our fuel (which is the difference between our excise tax and gasoline and diesel fuel tax) is being reviewed. See the MSA website for the forms concerning how to get this rebate. G. Tickets for sale at Wal-Mart: Don Allaire wanted to know if we will be selling tickets outside this season. If we have volunteers to man the positions, the club will be hosting the sales table. If no volunteers come forward, we will disband this function for the season.H. Ticket sales at the York Harvest Fest: Anyone wanting to sell tickets this year on October 18th and 19th may go. Paul will be out of town for this weekend. You will need to set up early (7am). | 1. President, Jim Roux opened the meeting at 7:10 p.m., “Welcome back here we go again!” Next, we recited The Pledge of Allegiance with 13 members in attendance. We had a moment of silence in remembrance of the ‘9-11 Incident’. 2. Secretary's Report: Cindy Roux presented the minutes from the March 27th meeting for the membership to read. An amendment needed to be made with the date as March 27 (see attached correction) which was listed originally as September 11th. A motion to accept the minutes as amended was made by Dave Leck, seconded, and passed. 3. Treasurer's Report: Lou Forni read the (attached). Information was read pertaining to the budget from last year’s season. There were no questions for Lou. Motion to accept as read was make by Dave Leck, seconded and passed. |
